How the lead response time calculator works
Lead response time measures the delay from an inbound enquiry to the first human response. An automated acknowledgement does not usually satisfy that operational goal. This calculator summarizes a set of elapsed response durations and shows how many answered leads meet the service level you choose.
Mean, median and the nearest-rank 90th percentile show different parts of the experience. A fast median with a slow 90th percentile suggests most buyers receive quick replies while a meaningful minority waits. SLA compliance counts measurements equal to the target as on time, making the boundary explicit.
Mean response = total elapsed minutes ÷ answered leads; SLA compliance = responses at or below SLA ÷ answered leads × 100
Worked example
Start with the example inputs below. The calculator opens with these values; reset the example at any time to compare your own scenario.
| Measure | Value |
|---|---|
| First human response times (minutes) | 1, 2, 3, 4, 20 |
| Response SLA (minutes) | 5 |
| Measure | Value |
|---|---|
| Average | 6 min |
| Median | 3 min |
| 90th percentile (nearest rank) | 20 min |
| Measurements | 5 |
| Responses within SLA | 80% |
Use elapsed minutes to the first human response. Unanswered leads are excluded; track them separately so the SLA percentage is not misleading.
How to use the result
Measure elapsed minutes using one definition across every lead. Decide whether your operational report uses clock time or a separately computed business-hours duration before pasting the values. Include leads arriving outside office hours consistently rather than removing them only when they worsen the result.
Inspect routing, ownership and notification delays when the tail is long. Break results down by source, region or arrival time to identify where a handoff fails. Paste durations only; customer names and contact details are unnecessary for this calculation.
Assumptions and common mistakes
Unanswered leads have no completed response duration and are excluded from this sample. Track their count separately, because dropping them can make SLA compliance appear better than the overall lead experience. The tool does not estimate lost revenue from response speed or assume a universal conversion penalty.
