Decide what you need beyond the deal board

A Pipedrive replacement should address the reason you are looking beyond your current pipeline, while preserving the work that already goes well. Distinguish a need for broader marketing and service coordination from a need for built-in calling, a more configurable process, or a different approach to customer records and AI access.

Consider Anvil for account-based B2B sales with permission-aware AI connections, HubSpot for sales linked to marketing and service, Close for outreach-centered work, or Zoho for configurable sales automation. The order is not a performance ranking. Anvil publishes this guide; validate every shortlisted product using your own records and requirements.

Keep the useful parts of your pipeline process

Document the definitions of your current stages before rebuilding the board in another CRM. Capture what qualifies a deal to enter each stage, which fields are mandatory, who owns the next activity, and how lost deals are recorded. Keeping these definitions consistent makes it easier to compare forecasts and identify whether the new system improves the process.

Separate missing capabilities from configuration problems. If deals are stale because nobody records a next action, a new board alone will not solve the issue. If the team needs calling, email sequences, or coordination with marketing, include that complete workflow in the comparison. Count any supporting tools you would retain alongside the replacement.

Test a mix of open and closed opportunities during the trial. Include a deal with several contacts, an overdue activity, a lost reason, and a change of owner. Ask a rep and a manager to review the same sample. A good replacement should make their daily questions easier to answer without losing the meaning of your existing pipeline history.

Compare the full annual workflow cost

Request the cost of the edition your requirements actually need. Include paid users, annual commitment, onboarding, add-ons, communication usage, migration help, and the external tools you will keep. Compare the first year separately from later years when a one-time setup fee applies. Do not compare one vendor's annual monthly equivalent with another vendor's monthly invoice.

Then ask each shortlisted vendor to demonstrate the same workflow. Give the people who will use the CRM a small set of representative records and ask them to complete the daily tasks without a guided presentation. Record the steps that still require duplicate entry, a spreadsheet, or another subscription. These observations are more useful than a broad claim that one product is easier for every business.

Keep a copy of the original export and map the fields before migrating the full database. Confirm which relationships, notes, activities, attachments, and historical events the importer supports. After a sample import, count the records, inspect ownership and permissions, and check the reports your manager relies on. Agree on a cutover date and record who is responsible for correcting discrepancies.

Questions and answers

What is the best Pipedrive alternative?
The right choice depends on the workflow: account-based CRM and external AI access, a visual sales pipeline, sales communication, or broader automation. Use the shortlist to choose two products to trial against the same requirements.
Can I import records from Pipedrive into Anvil?
Anvil supports CSV imports. Check the supported objects, field mappings, and relationships with a sample export before a full migration. CSV import does not imply continuous synchronization.
