Start with the parts of HubSpot you actually use
Switching from HubSpot is a different decision for a team that uses only contacts and deals than for a business running campaigns, attribution, lead routing, and customer support on the same platform. List the workflows you use today before comparing alternatives. Removing a hub can mean replacing a working handoff or report, even when the new CRM subscription looks cheaper.
This shortlist covers four distinct directions: Anvil for account-based sales with permission-aware AI access, Pipedrive for a pipeline-led sales process, Close for communication-heavy selling, and Zoho for configurable sales workflows. These are starting points for evaluation, not a universal ranking. Anvil publishes this guide and is one of the products listed.

Anvil: B2B account context and permission-aware AI workflows
Anvil connects companies, people, deals and activities. Pro adds MCP access for compatible AI assistants. It does not provide native email sync, sales sequences, or a built-in dialer.
Import related company and contact records, assign the next activity, and test a read-only AI connection with the permissions of a normal team member.
Pipedrive: A visual deal pipeline with sales email tools
Pipedrive lists pipeline management, email sync, reporting, sales automation, and MCP among its product capabilities. Check the plan and add-ons that include each capability you need.
Move a representative deal through your real stages, send an email, and review the forecast. Check whether lead capture and campaigns need separate subscriptions.
Close: Sales teams whose daily work centers on outreach
Close combines calling, email, SMS, pipelines, and reporting. Its product page also describes an AI sales agent. Confirm communication charges and the availability of your required features.
Run a normal call and follow-up sequence, check the activity history, and review how usage charges and phone requirements affect the full team budget.
Zoho: Teams evaluating configurable sales automation
Zoho CRM describes forecasting, workflow automation, cadences, and AI features. Match the edition to your process rather than assuming every advertised capability is included in the entry plan.
Build one real workflow, test the resulting assignments, and ask the person who will administer the system to change it without outside help.
Separate CRM requirements from your HubSpot ecosystem
Write down every place where a marketing or support workflow changes what a sales rep sees. Include forms, campaign source fields, automatic assignments, email history, meeting links, lifecycle stages, and reports. Mark which parts must remain connected on day one and which can be simplified. A replacement CRM should be evaluated against that list rather than against a feature count.
If you plan to keep part of HubSpot, decide which system owns each record and which direction updates should travel. Ask for documentation of any proposed synchronization. A CSV import is useful for moving records, but it is not a continuous integration. Check duplicate handling and contact-company relationships with a small sample before committing to a migration.
For a team using only core CRM records, the trial can be narrower: import contacts and companies, recreate a representative deal, record an activity, and run the manager's normal pipeline review. For a team using marketing automation, add a real lead capture and handoff scenario. The scope of the test should match what the team would lose by switching.
Compare the full annual workflow cost
Request the cost of the edition your requirements actually need. Include paid users, annual commitment, onboarding, add-ons, communication usage, migration help, and the external tools you will keep. Compare the first year separately from later years when a one-time setup fee applies. Do not compare one vendor's annual monthly equivalent with another vendor's monthly invoice.
Then ask each shortlisted vendor to demonstrate the same workflow. Give the people who will use the CRM a small set of representative records and ask them to complete the daily tasks without a guided presentation. Record the steps that still require duplicate entry, a spreadsheet, or another subscription. These observations are more useful than a broad claim that one product is easier for every business.
Keep a copy of the original export and map the fields before migrating the full database. Confirm which relationships, notes, activities, attachments, and historical events the importer supports. After a sample import, count the records, inspect ownership and permissions, and check the reports your manager relies on. Agree on a cutover date and record who is responsible for correcting discrepancies.

Questions and answers
- What is the best HubSpot alternative?
- The right choice depends on the workflow: account-based CRM and external AI access, a visual sales pipeline, sales communication, or broader automation. Use the shortlist to choose two products to trial against the same requirements.
- Can I import records from HubSpot into Anvil?
- Anvil supports CSV imports. Check the supported objects, field mappings, and relationships with a sample export before a full migration. CSV import does not imply continuous synchronization.
